Running the Teacher Unmarked Attendance Batch Email

For those schools who are capturing student attendance using the Teacher Portal there is a process for sending bulk emails to all teachers showing them a list of unmarked attendance from ‘yesterday’ back to a date you can define when running the batch. The maximum time period you can run missed attendance from is three months.

The data for the report that underlies this process is generated every night at approximately midnight.

If a teacher marks previously missed attendance the following day, and prior to the email being sent then that attendance will still show as unmarked until following day.

For instance; if a teacher misses marking the attendance for a class on Monday, then subsequently marks that attendance first thing on Tuesday, if the email batch has not yet been run on the Tuesday then this attendance will still show as unmarked and the teacher will get a reminder email. When the system updates again at midnight it will be removed from the missed attendance report.

To run Batch Emails you will need to have the appropriate permissions, please see your Systems Administrator if you do not have these permissions.

Step-by-step guide

Batch Emails are accessed through the Batch Emails Tab. Please click here for information on customising tabs.

In the Batch Email screen, click on Create for ‘Attendance Not Logged Teacher Email.’

You do not need to change any of the filters in the pop up box, except for the date if you wish to change how far back the report will go to look for unmarked attendance.

Click on ‘Create’

This will start a background process that will gather information and email unmarked attendance to each teacher, at the email address stored on their teacher account record.

When the batch has completed you will be emailed a summary of the batch process, an example is below.

The email batch 'Attendance Not Logged Teacher Email' started on 06/20/2017 at 13:19:49 has completed
