Visa Compliance

Schoolworks has a set of comprehensive features to help manage capturing visa information and reporting status and compliance problems.

Visa Records

Visa records can be created to record each visa a student has or is applying for.  Schoolworks can record multiple visas per student if needed.

Visa records are created via the Student Account record - Visas section -  Select 'New Visa' button

Visa record fields


Confirmation of Acceptance for Studies (CAS) details (if applicable)

Visa CAS Issue date, Start date, End date, Expiry date, FNID number


Visa details

Visa Dates - application/start/end/renewal dates

Visa Category - Visa National, Non Visa National 

Visa Type - SVV, GSV etc (these are configurable for your school / location / country)

Visa Status - Requested, Approved, Approved (Seen), Denied, Withdrawn

(It is possible for your Systems Administrator to add other statuses, as required)


Document Fees Overide

Entering fees here can be used to appear on documents instead of the actual finance system fees

This can be used when there is a requirement to report fees paid on the visa letter for immigration departments in certain countries.



Compliance Calculation Fields on the Enrolment and Account

There are a set of visa compliance calculation fields which are automatically maintained on the Enrolment record and Account record, and can be used in Reports, Dashboards and Workflow alerts in order to manage overall visa compliance for your school.

Account

There are visa calculation fields which are displayed on the Account record in the Passport and Visa Compliance section, and are also available in Reports.

Current Visa - this is automatically calculated based on todays date, and any matching visa records created in the Visas list.

Current Visa Start Date -  this is automatically calculated based on todays date, and any matching visa records created in the Visas list.

Current Visa End Date -  this is automatically calculated based on todays date, and any matching visa records created in the Visas list.

Current Visa Expired - this is automatically calculated based on todays date, and any matching visa records created in the Visas list.

Enrolment

The compliance fields available from the Enrolment object and are available in Enrolment Reports (these are used in the Schoolworks 'Visa Report').

Visa Is Valid

Ticked if there is complete coverage of the enrolment by all valid visas where there are no gaps, and the visa status is set to Approved - Seen.  

(This can be customised in the Status object if you see your systems administrator and adjust the Status Complete status)

Visa is valid Today

Ticked if the visa is valid today. Useful in conjunction with Visa Is Valid as this might be unticked, but Visa Valid Today is ticked, so we have a problem in the future. Used in conjunction with Visa Days to Expire so you will know how imminent the visa expiry is.

Visa Days To Expire

If Visa is Valid is not ticked, then this value is the number of days between now and when the student's visa will expire

Visa Types

A string of the visas whose dates match (or cross) the enrolment period. Useful to understand which visas (multiples included) are in use across the enrolment period.

Visa Type Today

The singular visa which is valid today

Reports

There will be visa compliance setup with your installation of Schoolworks.  Search for the word 'Visa' in the reports system.

Quick tip: You can create your own report by using the Enrolment Report Type, setting Enrolment Start Date/End Date filters - OR the Course Literal field to (say) 'THIS WEEK' and adding the compliance fields above.
