Editing Existing Templates

  • Existing templates can be edited or changed by finding the corresponding Document Template record in Schoolworks and clicking the Template Edit URL link.

  • Search for the Document Template object in System Objects, then click through to the record containing the document you wish to update.

  • Clicking the “Template Edit URL” link will open the Google Document in a new tab.

    • ** You may need to login to Google Drive with your schools Google Account details.

    • If your school does not usually use Google Drive, the details will be something like: yourschoolnamesw@gmail.com. with a secure password.

  • Edit the Document as required. Google automatically saves changes as you make them in Google Drive where the template is stored.

    • If you are unsure of any mergefields, please contact your System Administrator who can advise.

Updating the Template in Schoolworks

  • Once you have completed the changes you need, go back to the Document Template record in Schoolworks and press the “Update Template” button.

  • Wait for the screen to refresh to make sure there are no error messages displayed regarding the document.

  • The new document will now be available to use.

    • It is always a good idea to generate a test document to check all the mergefields are pulling through the data as expected.
