Enrolments - Creating an Enrolment

Once you have created your Student Account, it is now possible to create an Enrolment and add bookings, invoice, and generate documents and emails for the student.

Remember:

Student Account - holds all the personal details and general information on the Student

Enrolment - holds the information about the stay with your school; there can be multiple Enrolments to your school under one Student Account if the student stays with you more than once.

Bookings - the Services that the student is purchasing from you, e.g. Course Booking, Accommodation Booking, Transfer Bookings.


Creating an Enrolment

  • Go to the Student Account record.

  • The Enrolment will automatically pull some information from the Student Account to make it quicker to create an Enrolment. So before creating the Enrolment, check the following fields on the Student Account:

    • Default School - check the correct school is entered for the new Enrolment (if you have multiple schools, the student may have Enrolments at different schools)

    • Default Agent - check the Agent record is linked if the new Enrolment has come through the agent. (again with multiple Enrolments, the student may be an Agent Student for the first visit, but Direct for the second)

    • Default Company - check the Company is linked if applicable (where the Company may be paying some or all of the fees for example)

    • Price List - typically left blank to pull through the current Price List, but if there is a need to assign the new Enrolment to a specific Price List (for example, fixed to last year’s prices), enter it here to lock the enrolment to that Price list.

  • When you are happy the Student Account is accurate and up to date, navigate to the Enrolments tab in the Account and click on New Enrolment:

  • This will open the Schoolworks Enrolment screen.

  • Check the Enrolment Details have pulled through as expected

  • Use the Edit Enrolment Details button if you need to make any changes:
