Enrolments - Student Holidays

This article covers how to add a student holiday to an enrolment and how to apply the student holiday to a booking to adjust the finances.

Please note Student Holidays ONLY affect Course bookings - they have no impact on any other types of bookings.


  • Open the Enrolment of the Student who wishes to take a holiday.

  • Scroll down to the Enrolment Student Holidays panel and click on “Add Student Holiday”:

  • Add a Holiday:

  • Enter the Start and End Date of the Holiday together with any comments you would like to record.

    • Typically dates are added for the full week Monday to Sunday, rather than Monday to Friday.

  • Choose a Status:

Provisional

  • No impact on the Course Bookings, Finance or Placement.

  • When a student is considering taking a holiday, is not sure yet but it is helpful to have a record in the Enrolment of their proposed holiday dates.

Confirmed

  • No impact on the Course Bookings or Finance, but does mark the Student as “On Holiday” in their Placement.

  • They remain placed in their Classes, but are automatically marked as “Holiday” in the attendance screen.

  • Their overall attendance figure excludes the holiday period.

  • They are removed from any Booking Statistics records, so can be excluded from student number reports for example.

  • When a student has confirmed they are taking a holiday and they are charged for the missed portion of their course.

Confirmed - Apply to Bookings

  • As per “Confirmed” above, but also reduces the affected course bookings by the number of weeks of the holiday, and reduces the fees accordingly.

Note - any accommodation and other bookings are not affected, so they would still be charged as per their original booking.

  • When a student has confirmed they are taking a holiday and they are not charged for the missed portion of their course.

 

Note - the system does not adjust the start and end date of any bookings. As any holidays may impact on Accommodation, Transfer, Insurance and other bookings, any further adjustments such as an extension of their stay need to be made manually.
